There are two options here: Upload or Email. Keep in mind that there are more steps before we can import the Documents(s) into Big Red Cloud.<\/p>\n<h4>Viewing the document<\/h4>\n<p>Once you have Uploaded or Emailed the Documents(s) you can view the Document(s) by clicking the File Name (on the left).<\/p>\n<p>You can Zoom in and out of the Document and you can move between pages (if there are multiple pages on the Document.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-25037 aligncenter\" src=\"http:\/\/bigredcloud.com\/wp-content\/uploads\/2022\/03\/unnamed-8-1.png\" alt=\"\" width=\"512\" height=\"59\" srcset=\"https:\/\/bigredcloud.com\/wp-content\/uploads\/2022\/03\/unnamed-8-1.png 512w, https:\/\/bigredcloud.com\/wp-content\/uploads\/2022\/03\/unnamed-8-1-300x35.png 300w, https:\/\/bigredcloud.com\/wp-content\/uploads\/2022\/03\/unnamed-8-1-500x59.png 500w\" sizes=\"auto, (max-width: 512px) 100vw, 512px\" \/><\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-25038 aligncenter\" src=\"http:\/\/bigredcloud.com\/wp-content\/uploads\/2022\/03\/unnamed-9-1.png\" alt=\"\" width=\"512\" height=\"332\" srcset=\"https:\/\/bigredcloud.com\/wp-content\/uploads\/2022\/03\/unnamed-9-1.png 512w, https:\/\/bigredcloud.com\/wp-content\/uploads\/2022\/03\/unnamed-9-1-300x195.png 300w\" sizes=\"auto, (max-width: 512px) 100vw, 512px\" \/><\/p>\n<p>&nbsp;<\/p>\n<h4>Detecting duplicate documents<\/h4>\n<p>The Purchase Importer will also try to detect Duplicate Documents (i.e., if an invoice was Uploaded twice) and it will allow you to Mark the Duplicate.<\/p>\n<p>To do this, tick the Document and click Mark as Duplicate &#8211; Yes.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-25039 aligncenter\" src=\"http:\/\/bigredcloud.com\/wp-content\/uploads\/2022\/03\/unnamed-10-1.png\" alt=\"\" width=\"512\" height=\"112\" srcset=\"https:\/\/bigredcloud.com\/wp-content\/uploads\/2022\/03\/unnamed-10-1.png 512w, https:\/\/bigredcloud.com\/wp-content\/uploads\/2022\/03\/unnamed-10-1-300x66.png 300w\" sizes=\"auto, (max-width: 512px) 100vw, 512px\" \/><\/p>\n<h4>Process Document<\/h4>\n<p>Processing the Document(s) is the stage where the supplier and the details\/values etc. get picked up on the Document(s).<\/p>\n<p>To process, tick the relevant Document(s) and click Process Documents (at the bottom of the screen) &#8211; Yes.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-25040 aligncenter\" src=\"http:\/\/bigredcloud.com\/wp-content\/uploads\/2022\/03\/unnamed-11-1.png\" alt=\"\" width=\"512\" height=\"151\" srcset=\"https:\/\/bigredcloud.com\/wp-content\/uploads\/2022\/03\/unnamed-11-1.png 512w, https:\/\/bigredcloud.com\/wp-content\/uploads\/2022\/03\/unnamed-11-1-300x88.png 300w\" sizes=\"auto, (max-width: 512px) 100vw, 512px\" \/><\/p>\n<p>Once it has processed the Document(s), you can check whether it has picked up the correct details on the Documents(s) (e.g., the values, the Supplier, the Analysis Category, the Nominal Account etc.).<\/p>\n<p>If the details are not correct, then you can change them to what they should be.<\/p>\n<h4>Multiple Invoice\/Credit Note documents<\/h4>\n<p>You can also import a Document that contains multiple invoices\/credit notes. (e.g., 1 document with say 2 invoices or more on it).<\/p>\n<p>After Processing a Document like this, the Purchase Importer should flag this with a status of Splitting Required.<\/p>\n<p>Tick the Document and click Split Document.<\/p>\n<p>You can also move between the pages of the document to see what is on each page.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-25041 aligncenter\" src=\"http:\/\/bigredcloud.com\/wp-content\/uploads\/2022\/03\/unnamed-12-1.png\" alt=\"\" width=\"512\" height=\"350\" srcset=\"https:\/\/bigredcloud.com\/wp-content\/uploads\/2022\/03\/unnamed-12-1.png 512w, https:\/\/bigredcloud.com\/wp-content\/uploads\/2022\/03\/unnamed-12-1-300x205.png 300w\" sizes=\"auto, (max-width: 512px) 100vw, 512px\" \/><\/p>\n<p>If the Document is just 1 invoice, click Keep as single document, and click OK.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-25042 aligncenter\" src=\"http:\/\/bigredcloud.com\/wp-content\/uploads\/2022\/03\/unnamed-13.png\" alt=\"\" width=\"466\" height=\"150\" srcset=\"https:\/\/bigredcloud.com\/wp-content\/uploads\/2022\/03\/unnamed-13.png 466w, https:\/\/bigredcloud.com\/wp-content\/uploads\/2022\/03\/unnamed-13-300x97.png 300w\" sizes=\"auto, (max-width: 466px) 100vw, 466px\" \/><\/p>\n<p>OR if the Document is a number of invoices, then ensure to tick the correct pages on the Choose beginning page for each sub-file section (in this example, Page 2 is the start page of the 2nd invoice) &#8211; and click OK.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-25043 aligncenter\" src=\"http:\/\/bigredcloud.com\/wp-content\/uploads\/2022\/03\/unnamed-14.png\" alt=\"\" width=\"453\" height=\"203\" srcset=\"https:\/\/bigredcloud.com\/wp-content\/uploads\/2022\/03\/unnamed-14.png 453w, https:\/\/bigredcloud.com\/wp-content\/uploads\/2022\/03\/unnamed-14-300x134.png 300w\" sizes=\"auto, (max-width: 453px) 100vw, 453px\" \/><\/p>\n<p>&nbsp;<\/p>\n<h4>Multiple Analysis Categories\/Nominals on a document<\/h4>\n<p>In some cases, an invoice may relate to multiple Analysis Categories and Nominal Accounts.<\/p>\n<p>After Processing a Document, the Purchase Importer will allow you to split the Document across multiple Analysis Categories and Nominals (if you wish to).<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-25044 aligncenter\" src=\"http:\/\/bigredcloud.com\/wp-content\/uploads\/2022\/03\/unnamed-15.png\" alt=\"\" width=\"512\" height=\"76\" srcset=\"https:\/\/bigredcloud.com\/wp-content\/uploads\/2022\/03\/unnamed-15.png 512w, https:\/\/bigredcloud.com\/wp-content\/uploads\/2022\/03\/unnamed-15-300x45.png 300w\" sizes=\"auto, (max-width: 512px) 100vw, 512px\" \/><\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-25045 aligncenter\" src=\"http:\/\/bigredcloud.com\/wp-content\/uploads\/2022\/03\/unnamed-16.png\" alt=\"\" width=\"512\" height=\"248\" srcset=\"https:\/\/bigredcloud.com\/wp-content\/uploads\/2022\/03\/unnamed-16.png 512w, https:\/\/bigredcloud.com\/wp-content\/uploads\/2022\/03\/unnamed-16-300x145.png 300w\" sizes=\"auto, (max-width: 512px) 100vw, 512px\" \/><\/p>\n<p>You would need to scroll over to the right of the document and click on the Analysis Category. This will bring up a drop down and select Choose Multiple A\/Cs. It will show you the Net to be assigned, and you can assign it the way you want to and click Save.<\/p>\n<h4>Create Transactions<\/h4>\n<p>The Create Transactions step is where you import the Document(s) from the Purchase Importer into Big Red Cloud.<\/p>\n<p>To do this, tick the relevant Document(s) click Create Transactions &#8211; OK.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-25046 aligncenter\" src=\"http:\/\/bigredcloud.com\/wp-content\/uploads\/2022\/03\/unnamed-17.png\" alt=\"\" width=\"512\" height=\"128\" srcset=\"https:\/\/bigredcloud.com\/wp-content\/uploads\/2022\/03\/unnamed-17.png 512w, https:\/\/bigredcloud.com\/wp-content\/uploads\/2022\/03\/unnamed-17-300x75.png 300w\" sizes=\"auto, (max-width: 512px) 100vw, 512px\" \/><\/p>\n<p>Once the transaction has been created, the Status will change from Processed to Transaction Created.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-25047 aligncenter\" src=\"http:\/\/bigredcloud.com\/wp-content\/uploads\/2022\/03\/unnamed-18.png\" alt=\"\" width=\"512\" height=\"14\" srcset=\"https:\/\/bigredcloud.com\/wp-content\/uploads\/2022\/03\/unnamed-18.png 512w, https:\/\/bigredcloud.com\/wp-content\/uploads\/2022\/03\/unnamed-18-300x8.png 300w, https:\/\/bigredcloud.com\/wp-content\/uploads\/2022\/03\/unnamed-18-500x14.png 500w\" sizes=\"auto, (max-width: 512px) 100vw, 512px\" \/><\/p>\n<p>&nbsp;<\/p>\n<h4>View the purchase book entry and the imported invoice<\/h4>\n<p>Click into the Purchases Book and the relevant month and click View on the Purchase Book Entry.
