The simple VAT case is easy: apply the right rate and record the transaction.

Real businesses are rarely that tidy. VAT may be accounted for when the customer pays. Construction services may fall under Reverse Charge. Imported goods may use Postponed Accounting. A reseller may need Margin VAT. Other transactions bring their own Revenue treatments and reporting requirements.

Accurate VAT Records

Build the VAT Return as You Do the Bookkeeping

The VAT return is the output. Most of the real work happens transaction by transaction.

When you raise a sales invoice, process a supplier invoice or record a relevant receipt, the VAT treatment can be captured as part of the normal accounting workflow.

That matters because by the time the return is due, you should not be reconstructing the period from bank statements, spreadsheets and memory.

Sales transactions already contain their VAT treatment. Purchase Importer can carry supplier and VAT information into the Purchase Book. Cash and banking workflows can preserve VAT information where relevant.

The better the bookkeeping is throughout the period, the less there is to untangle when VAT is due.

Complex VAT Scenarios

When VAT Gets Less Standard

The strength of an Irish accounting system shows when the transaction falls outside the obvious case.

VAT on a Cash-Receipts Basis

Some businesses account for VAT on sales when the customer pays rather than when the invoice is raised.

Big Red Cloud can analyse VAT from customer receipts, so the VAT reporting follows the way the business is actually required to account for the transaction.

Reverse charge VAT

Construction is a good example of why VAT software needs to understand more than rates.

Where the reverse charge applies to relevant construction services, the subcontractor may issue an invoice without charging VAT and the principal contractor accounts for the VAT instead.

Big Red Cloud supports the accounting treatment and the corresponding VAT reporting, as well as the appropriate treatment where a reverse-charge sales invoice is required.

Postponed Accounting

Imported goods can create VAT obligations that do not look like an ordinary domestic purchase.

Big Red Cloud supports Postponed Accounting on purchases, including supplier defaults where appropriate, so the import VAT can flow through the purchase and VAT records rather than being rebuilt separately.

Margin VAT

For qualifying businesses, VAT may be calculated on the margin between the purchase price and selling price rather than on the full sale value.

Big Red Cloud includes Margin VAT functionality to support that treatment and the figures ultimately required for Irish VAT reporting.

These are not the only exceptions. Big Red Cloud also supports configurable VAT rates and other specialist treatments that arise in Irish bookkeeping.

The important point is that when a transaction does not fit the standard case, the accounting system should still have a sensible way to deal with it.

Revenue Reporting

Turn the Books Into VAT3 and RTD Figures

Once the underlying transactions are recorded correctly, Big Red Cloud can turn the accounting records into the figures needed for Irish Revenue reporting.

The Standard VAT Report uses the Sales Book and Purchase Book for the selected period to calculate the figures for the relevant VAT3 boxes, including T1 and T2.

Supporting VAT detail reports let you see the transactions behind those figures, making it easier to check the return or work through an issue with your accountant.

The same principle applies to the annual Return of Trading Details. The RTD requires sales and purchases to be broken down by VAT rate and transaction type. That information cannot be recreated accurately at year end if it was never recorded properly during the year.

So both VAT3 and RTD reporting depend on the same discipline.

Digital Invoicing Changes

eInvoicing Is Coming. An Emailed PDF Isn’t an eInvoice.

Ireland is moving towards structured eInvoicing and increasingly digital VAT reporting.

And despite the name, an invoice attached to an email as a PDF is not a structured eInvoice.

A true eInvoice contains machine-readable information that can pass directly between accounting systems and be processed automatically. Ireland is building on the Peppol network already used for public-sector eInvoicing.

Big Red Cloud will be ready for Peppol, and we will help our customers get ready too.

We are engaging with Revenue on VAT Modernisation and will keep customers informed about what is changing, what they need to do and when they need to do it.

For businesses, there is a practical upside. Instead of creating an invoice, turning it into a PDF, emailing it and asking somebody at the other end to read or re-key it, structured eInvoicing allows the invoice data itself to move between systems.

That fits the same principle that runs through Big Red Cloud: capture the accounting correctly when the transaction happens and avoid reconstructing it later.
