You probably notice it in small ways first. Someone creates purchase orders separately. Purchasing keeps a list of what’s still due from suppliers. Stock by location ends up in a spreadsheet. Sales checks with the warehouse before promising something to a customer.
Perhaps the clearest sign is when you no longer trust the stock number without asking someone to check.
If you’re looking for inventory management software for FreeAgent, the first question is whether you need another system at all.
FreeAgent lets you create stock items, record purchases and sales, track quantities and account for the value of the stock you hold. It uses perpetual inventory accounting, with the cost of purchased stock recorded on the balance sheet and transferred to the profit and loss account when the stock is sold.

For plenty of businesses, that’s enough. FreeAgent itself says its stock system is “best suited to service-based businesses that occasionally supply small quantities of goods.” If that describes your business, there may be little reason to add dedicated inventory software. The picture changes when the stock number stops answering the questions your team needs to ask.
A quantity of twelve doesn’t tell you whether all twelve are available to sell. Some might already be allocated. More might be sitting at another branch. Twenty might be due from a supplier tomorrow.
Then there are other questions. Which serialised item went to this customer? Has the rest of that order arrived? What needs picking today?
Knowing how much stock you have is only part of the job.
FreeAgent doesn’t support purchase orders. Its own support documentation says you’ll need to use a separate package such as Microsoft Excel or Word to create them. That’s perfectly workable if you buy products occasionally.

It becomes harder when purchasing is part of the everyday flow of stock through your business. You may need to request prices from several suppliers, raise a purchase order, see what’s still outstanding and receive part of an order without losing sight of the remainder.
Then the goods arrive. Receiving them needs to change what the rest of your team can see and do.
A purchase order in Word can tell a supplier what you want. It can’t tell the rest of your business what happened next.
A growing business can have thousands of products, several warehouses, complicated purchasing, e-commerce orders, serialised equipment or a busy fulfilment operation while its accounts remain relatively straightforward.
Sales needs to know what’s actually available. Purchasing needs to know what’s coming. The warehouse needs to know what to pick and where to find it. None of that necessarily means you need more complicated accounting.
Needing more sophisticated inventory management doesn’t necessarily mean replacing FreeAgent or moving to an ERP system. You may simply need a system designed to manage the work happening around your stock.
On the buying side, that might look like:
Purchase order → Receive → Put away → Available stock
And when you sell:
Sales order → Allocate → Pick → Dispatch
As your operation develops, those workflows might involve several locations, serial or batch tracking, e-commerce orders, equipment hire, workshop jobs or materials used on projects. FreeAgent can continue doing the accounts while a dedicated inventory system manages that complexity.
