FreeAgent Inventory Management UK: When You Need More Stock Control

By 18th September 2026Uncategorized @ga

In brief: FreeAgent has built-in stock functionality for straightforward requirements. If you need deeper inventory management around purchasing, availability, locations, fulfilment or traceability, you can add dedicated inventory software while keeping FreeAgent for your accounts. Turbo Inventory is an official FreeAgent integration designed for this.

FreeAgent may still be working perfectly well for your accounts even when managing your stock starts to get complicated.

You probably notice it in small ways first. Someone creates purchase orders separately. Purchasing keeps a list of what’s still due from suppliers. Stock by location ends up in a spreadsheet. Sales checks with the warehouse before promising something to a customer.

Perhaps the clearest sign is when you no longer trust the stock number without asking someone to check.

If you’re looking for inventory management software for FreeAgent, the first question is whether you need another system at all.

FreeAgent’s built-in stock management

FreeAgent lets you create stock items, record purchases and sales, track quantities and account for the value of the stock you hold. It uses perpetual inventory accounting, with the cost of purchased stock recorded on the balance sheet and transferred to the profit and loss account when the stock is sold.

Read FreeAgent’s explanation of stock valuation and perpetual inventory.

For plenty of businesses, that’s enough. FreeAgent itself says its stock system is “best suited to service-based businesses that occasionally supply small quantities of goods.” If that describes your business, there may be little reason to add dedicated inventory software. The picture changes when the stock number stops answering the questions your team needs to ask.

A quantity of twelve doesn’t tell you whether all twelve are available to sell. Some might already be allocated. More might be sitting at another branch. Twenty might be due from a supplier tomorrow.

Then there are other questions. Which serialised item went to this customer? Has the rest of that order arrived? What needs picking today?

Knowing how much stock you have is only part of the job.

Purchasing is often where you notice it first

FreeAgent doesn’t support purchase orders. Its own support documentation says you’ll need to use a separate package such as Microsoft Excel or Word to create them. That’s perfectly workable if you buy products occasionally.

Read FreeAgent’s guidance on purchase orders.

It becomes harder when purchasing is part of the everyday flow of stock through your business. You may need to request prices from several suppliers, raise a purchase order, see what’s still outstanding and receive part of an order without losing sight of the remainder.

Then the goods arrive. Receiving them needs to change what the rest of your team can see and do.

A purchase order in Word can tell a supplier what you want. It can’t tell the rest of your business what happened next.

Your business can become operationally complex without becoming financially complex

A growing business can have thousands of products, several warehouses, complicated purchasing, e-commerce orders, serialised equipment or a busy fulfilment operation while its accounts remain relatively straightforward.

Sales needs to know what’s actually available. Purchasing needs to know what’s coming. The warehouse needs to know what to pick and where to find it. None of that necessarily means you need more complicated accounting.

Needing more sophisticated inventory management doesn’t necessarily mean replacing FreeAgent or moving to an ERP system. You may simply need a system designed to manage the work happening around your stock.

On the buying side, that might look like:

Purchase order → Receive → Put away → Available stock

And when you sell:

Sales order → Allocate → Pick → Dispatch

As your operation develops, those workflows might involve several locations, serial or batch tracking, e-commerce orders, equipment hire, workshop jobs or materials used on projects. FreeAgent can continue doing the accounts while a dedicated inventory system manages that complexity.

Where Turbo Inventory fits

Turbo Inventory, part of the Big Red Cloud group, integrates with FreeAgent and is listed in FreeAgent’s official integrations directory. FreeAgent describes Turbo as a way to “automate stock management” and says the integration bridges inventory management and accounting.

See Turbo Inventory in FreeAgent’s integrations directory.

Turbo starts with stock and connects the work that happens around it.

You can use Turbo to manage purchasing, stock, sales and fulfilment while keeping FreeAgent as your accounting system. For businesses that need more, Turbo can also connect stock with e-commerce, hire, workshop, service and project workflows.

What can Turbo add alongside FreeAgent?

Area FreeAgent With Turbo alongside FreeAgent
Accounting and stock value Accounting, stock items, quantities and stock valuation FreeAgent remains your accounting system while relevant transactions connect from Turbo
Purchasing Supplier bills; purchase orders created outside FreeAgent RFQs, purchase orders and goods receiving
Stock availability Stock quantities Availability and allocation
Locations Stock-item quantities Stock across warehouses, branches, locations and bins
Sales and fulfilment Sales accounting Sales orders, allocation, picking, packing and dispatch
Traceability Stock-item records and quantities Serial and batch tracking

The important question isn’t how many features you need. It’s whether your team can reliably manage the journey of stock through the business.

For some companies, purchasing is the first pressure point. For others, it’s a second warehouse, stock allocation, fulfilment or traceability.

FreeAgent’s e-commerce guidance refers to a separate stock management system

FreeAgent’s own guidance for stock-based e-commerce businesses gives a particularly useful example of where a separate inventory system can fit.

For the workflow it describes, FreeAgent tells businesses not to use its stock-item functionality. Instead, it explains how to record income, purchases and periodic stock adjustments, and says you may obtain your closing stock figure from your “stock management system.”

Your stock management system can manage the physical inventory while FreeAgent handles the accounting treatment. Turbo Inventory integrates with Shopify and WooCommerce as well as FreeAgent, allowing an architecture such as:

Shopify or WooCommerce → Turbo Inventory → FreeAgent

Your team can manage the products and inventory in Turbo while FreeAgent continues to handle the accounts.

Some stock has a more complicated life

Buying, storing and selling doesn’t describe every stock-based business.

Equipment might be hired, returned, inspected and sent to a workshop before becoming available again. A machinery business might sell equipment, service it later and use parts from stock. A project business may buy and consume materials against individual jobs.

These businesses can be operationally sophisticated without needing equally sophisticated accounting. Turbo can extend inventory management into hire, workshop, service and project workflows where you need it.

See how Turbo Inventory works with FreeAgent.

Do you actually need dedicated inventory software?

Not necessarily. If you hold relatively small quantities of stock, mainly supply products alongside a service and don’t need structured purchasing, multiple locations, fulfilment or deeper traceability, FreeAgent’s built-in functionality may already give you what you need.

Adding software you don’t need gives your team another system to manage. The test is what happens when someone needs an answer.

A customer wants ten units by Friday. Can sales confidently say yes? If answering means checking a spreadsheet, ringing the warehouse and asking purchasing what’s due from the supplier, you may have reached the point where your inventory needs its own system.

That doesn’t mean your accounts need a new one.

Keep FreeAgent. Add the inventory control you need.

Outgrowing straightforward stock management doesn’t mean you’ve outgrown FreeAgent. If FreeAgent is working for your accounts, keep it. Add dedicated inventory software where the complexity has actually appeared.

Turbo Inventory is an official FreeAgent integration that can manage the deeper inventory and related workflows around your products while FreeAgent continues to handle your accounts.
