Big Red Cloud Power Accounting How To Guide #

This How To Guide will assist you in using the Big Red Cloud Power Accounting Template in conjunction with the Big Red Cloud Power Accounting Add-in for Excel. Once you have connected this template to your company by entering the API Key, you can then import and export data to/from your company in Big Red Cloud.

Creating Data within this template prior to connecting to your company, may result in duplication of work at a later date.

The Big Red Cloud Power Accounting Template consists of the following tabs:

  1. Setup Guide
  2. How To Guide
  3. Generating an API Key Guide
  4. Customers
  5. Suppliers
  6. Product
  7. Sales Entries
  8. Sales Invoices
  9. Purchases
  10. VAT Rates

You can interact with each of these tabs in a variety of ways:

  1. Manually
  2. Get Data from BRC function
  3. Send Data to BRC function
  4. Get Setup Data function

The “Get Data from BRC” function: #

“Get Data from BRC” will retrieve three types of data for your company.

  1. Company Setup Data for VAT Rates, User Defined Fields, Analysis Categories – updates the Sales Entries, Sales Invoices, Purchases tabs with the respective Analysis Categories and User Defined Fields
  2. Master Data for Customers, Suppliers, Products – updates the Customers, Suppliers, Products tabs with the Master Data (i.e. setup data) for all existing Customers, Suppliers and Products
  3. Transnational Data for Sales Entries, Sales Invoices, Purchases – retrieves transnational data for the period that you define in the ‘period’ section & updates the Sales Entries, Sales Invoices, Purchases tabs with the respective transactions for the period that you have defined.

The “Send Data to BRC” function: #

“Send Data to BRC” will send two data types for your company.

  1. Master Data for Customers, Suppliers, Products – updates your Big Red Cloud company within the changes you make to the Master Data within the Customers, Suppliers, Products tabs.
  2. Transnational Data for Sales Entries, Sales Invoices, Purchases – posts the changes you make to the transactions within the Sales Entries, Sales Invoices, Purchases tabs.

Note: Changes made to the tabs and sent to BRC cannot be undone, you should consider a backup prior to importing that data to your company.

The “Get Setup Data” function: #

“Get Setup Data” will retrieve any new setup data associated with your company, such as Analysis Categories, User Defined Fields and VAT Rates.

Running Get Setup Data will overwrite any data within your Excel template and replace it with the Setup data currently associated with your company.

Get Setup Data only needs to be run in the event that some setup data has been changed within your company since you last used your Excel Template.

Adding Customer/Supplier/Product Master Data #

When creating customers/suppliers/products in their respective tabs:
The following fields will update automatically and should not be edited:
– Operation
– Response
– Id
– Timestamp
All other fields can be edited.
The following fields are required:
– A/C Code (Code for Products)
– Name
Cell Formatting should not be changed.
When changing customers/suppliers/products in their respective tabs:
The following fields will update automatically and should not be edited:
– Operation
– Response
– Id
– Time stamp
The following fields cannot be edited:
– A/C Code (Code for Products)
All other fields can be edited.
The following fields are required:
– A/C Code (Code for Products)
– Name
Cell Formatting should not be changed.

Adding/Changing Sales Entries or Purchases #

When creating Sales Entries/Purchases in their respective tabs:
The following fields will update automatically and should not be edited:
– Operation
– Response
– Id
– Time stamp
All other fields can be edited.
The following fields are required:
– Period
– Date
– Reference
– Account
– VAT Type
– Total
– Total VAT
– Net Breakdown across VAT Rates
– Net Breakdown across Analysis Categories
Cell Formatting should not be changed.
When changing Sales Entries/Purchases in their respective tabs:
The following fields will update automatically and should not be edited:
